Vaughan Latin Festival 2026 \u2014 Food Vendor Agreement<\/h2>\n

Please read everything below before filling out the form.<\/pee> <\/p>\n

Important:<\/strong> This agreement is between Fuerza Latina Community Services (FLCS) and the Food Vendor for booth space rental during the Vaughan Latin Festival (VLF) on July 11, 2026 from 11:00 AM – 10:30 PM at Mackenzie Glen Park, 220 Cranston Park Ave., Maple, ON. <\/div>\n

<\/p>\n

<\/p>\n
1. Payment<\/div>\n

<\/p>\n

<\/p>\n
⚠ No refunds. No installments. All payments are final.<\/div>\n

<\/p>\n

Full Payment:<\/strong> Due within 5 days of signing this agreement. E-Transfer (no extra fee):<\/strong> Send to info@fuerzalatinaservices.org<\/strong> \u2014 Include your company name and “VLF 2026 Food Vendor” in the message. Credit Card:<\/strong> A 3.5% service fee will be applied to all credit card payments. <\/div>\n

<\/p>\n

Late Payment:<\/strong> Payments received after the 5-day deadline are subject to a $100.00 late fee.<\/strong><\/div>\n

<\/p>\n

No Installments:<\/strong> Payment in installments is not permitted. Full amount only.<\/div>\n

<\/p>\n

No Refunds:<\/strong> All payments made to Fuerza Latina for the Vaughan Latin Festival are non-refundable.<\/div>\n

<\/p>\n

Booth Assignment:<\/strong> Booth locations are assigned on a first-come, first-served basis, after payment is received.<\/div>\n

<\/p>\n

Taxes:<\/strong> You are responsible for collecting, reporting, and remitting all applicable sales taxes.<\/div>\n

2. Required Actions<\/div>\n

<\/p>\n

<\/p>\n
These steps are mandatory<\/strong> and must be completed in addition to this registration.<\/div>\n

<\/p>\n

2-1. Safety Regulations:<\/strong> All Food Vendors must adhere to the Health & Safety Guidelines and must follow York Region Health Dept regulations. <\/div>\n

<\/p>\n

<\/p>\n
⚠ Food & Product Approval \u2014 This is mandatory.<\/div>\n

2-2. Food Item List:<\/strong> You must list all food items intended for sale at the Vaughan Latin Festival. Only items approved in writing by Fuerza Latina and the York Region Health Department will be allowed. Bringing additional, unapproved items is a serious violation<\/strong> that may result in fines and\/or immediate cancellation of participation without refund.<\/strong> <\/div>\n

2-3. York Region Food Vendor Form:<\/strong> Please complete and submit the Special Event Vendor Application using the form below. Download York Region Food Vendor Form ↗<\/a> <\/div>\n

2-4. Insurance & Food Handler Certificate:<\/strong> Please upload a copy of your insurance and Food Handler Certificate using the form below before the event. <\/div>\n

3. Booth Setup & Equipment<\/div>\n

<\/p>\n

<\/p>\n
Booth Size:<\/strong> Each booth includes 10ft x 10ft of space. Displays or equipment must not block the view of the stage or encroach on another vendor’s space.<\/div>\n

<\/p>\n

Your Equipment:<\/strong> Bring your own generator, tent\/canopy, tent weights, extension cords, table(s), and chairs.<\/div>\n

<\/p>\n

Anchoring:<\/strong> All tents must be securely anchored to withstand high winds.<\/div>\n

<\/div>\n

<\/div>\n

<\/p>\n

<\/p>\n
4. Event Day<\/div>\n

<\/p>\n

<\/p>\n
Check-In:<\/strong> All vendors must check in by 9:30 AM<\/strong> on the event date. Late arrivals may lose their booth space with no refund.<\/strong><\/div>\n

<\/p>\n

Check-Out:<\/strong> Vendors must not move vehicles until after 10:30 PM<\/strong> for public safety.<\/div>\n

<\/p>\n

Health & Safety:<\/strong> You must take all necessary precautions to avoid health hazards and must follow York Region Health Dept regulations.<\/div>\n

<\/p>\n

Liability for Damages:<\/strong> You are liable for any damages of any kind caused by you to any individual or self in the premises.<\/div>\n

<\/p>\n

Complimentary Food Vouchers:<\/strong> As a not-for-profit organization, FLCS kindly requests that food vendors provide 10 complimentary food vouchers to support our event volunteers.<\/div>\n

5. Rules & Restrictions<\/div>\n

<\/p>\n

<\/p>\n
Weather Policy:<\/strong> This is a rain or shine event \u2014 there will be no make-up dates or refunds.<\/div>\n

<\/p>\n

No Solicitation or Donations:<\/strong> Requests for donations or soliciting are strictly prohibited.<\/div>\n

<\/p>\n

No Raffles:<\/strong> Raffles are not permitted \u2014 a license from the City of Vaughan is required.<\/div>\n

<\/p>\n

No Booth Sharing:<\/strong> Booth sharing with another business is strictly prohibited.<\/div>\n

<\/p>\n

Right to Refuse:<\/strong> FLCS reserves the right to refuse or cancel contracts for rule\/code violations or inappropriate vendor conduct, at its sole discretion.<\/div>\n

6. Media Release & Liability<\/div>\n

<\/p>\n

<\/p>\n
Media Release:<\/strong> I grant Fuerza Latina Community Services (FLCS) and its affiliates permission to use our photograph or video in any and all of its publications, including advertisements, without payment or any other consideration and agree that these materials will become the property of Fuerza Latina Community Services and\/or its affiliates.<\/div>\n

<\/p>\n

Release of Liability:<\/strong> I have read the terms and conditions and I expressly release Fuerza Latina Community Services and its employees, servants, agents and organizers of the Vaughan Latin Festival from any and all claims whatsoever, any liability for any theft, damage, injury or loss to any persons or goods, which may arise from my participation in this event, and\/or by occupying the booths at Vaughan Latin Festival.<\/div>\n
