2. Vendor Details & Compliance

2-1. Vendor Food List & Product Approval

Vendors must list below food items intended for sale at the Bradford Latin Festival. Only items approved in writing by Fuerza Latina and the Simcoe Health Department will be allowed.

3. Sales Tax Responsibility

3-1. Taxes

Vendors are responsible for collecting, reporting, and remitting all applicable sales taxes.

4. Visible Community Impact & Goodwill

4-1. Complimentary Food Vouchers

Food Vendor agrees to provide ten (10) Complimentary Meal Vouchers to support and thank our event volunteers.

5. Site & Logistics Requirements

5-1. Check-In

All vendors must check in by 9:30 AM on the event date. Late arrivals may lose their booth space with no refund.

5-2. Check-Out

Vendors must not move vehicles until after 9:00 PM for public safety.

5-3. Equipment Transport

Food Vendors must use a trolley or handcart to transport all equipment and products to and from their booth. Trucks and other motorized vehicles are not permitted to drive inside the Bradford Public Square.

5-4. Concrete Floors

Use tent weights to ensure stability on concrete surfaces.

5-5. Garbage Disposal

Food Vendors must manage and dispose of their own garbage.

5-6. Damage Deposit

A refundable deposit of $150 is required to ensure no oil stains or damage occur. The deposit will be returned within 48 hours after a satisfactory post-event inspection.

6. Booth & Space

6-1. Booth Assignment

Booth locations are assigned on a first-come, first-served basis, after payment is received.

6-2. Booth Size

Each booth includes 10ft x 10ft space. Displays or equipment must not block the view of the stage or encroach on another vendor's space.

6-3. Booth Sharing

Booth sharing with another business is strictly prohibited.

7. Insurance & Required Documents

7-1. Town of Bradford Insurance

Vendors are responsible for their own personal property and liability insurance and must provide proof to FLCS. MUST provide a $2M Certificate listing The Corporation of the Town of Bradford West Gwillimbury as additional insured, OR obtain a Certificate of Insurance for $23.00 directly from the Town of Bradford.

7-2. Vendor Application Requirement

All Food Vendors must submit an Online Vendor Application to the Town of Bradford.

8. Safety & Compliance

8-1. Compliance with Safety Regulations

All Food Vendors must adhere to the Simcoe Special Events Guidelines.

8-2. Equipment

Food Vendors must bring their own equipment: generator, tent/canopy, tent weights, extension cords, table(s), chairs.

8-3. Protective Mat Requirement

Vendors must bring & use a protective mat or floor covering under all equipment involving oil, grills, or any cooking apparatus that could cause spills or stains, as required by Bradford Public Square. Failure to comply will result in exclusion from the event without a refund. This is a requirement from Town of Bradford.

8-4. Anchoring

All tents must be securely anchored to withstand high winds.

8-5. Health & Safety

Food Vendors must take all necessary precautions to avoid health hazards and must follow Simcoe Health Dept regulations.

8-6. Weather Policy

This is a rain or shine event – there will be no make-up dates or refunds.

8-7. Solicitation & Donations

Requests for donations or soliciting are strictly prohibited.

8-8. Raffles

Raffles are not permitted - a special license from the Town of Bradford is required.

9. Liability

9-1. Liability for Damages

Vendors are liable for any damages of any kind caused by them to any individual or self in the premises.

9-2. Right to Refuse

FLCS reserves the right to refuse or cancel contracts for rule/code violations or inappropriate vendor conduct, at its sole discretion.

9-3. Release of Liability

I have read the terms and conditions and I expressly release Fuerza Latina Community Services and its employees, servants, agents and organizers of the Bradford Latin Festival from any and all claims whatsoever, any liability for any theft, damage, injury or loss to any persons or goods, which may arise from my participation in this event, and/or by occupying the booths at Bradford Latin Festival.

9-4. Media Release

I grant Fuerza Latina Community Services (FLCS) and its affiliates permission to use our photograph or video in any and all of its publications, including advertisements, without payment or any other consideration and agree that these materials will become the property of Fuerza Latina Community Services and/or its affiliates.

10. Payments

10-1. Booth Type & Pricing

Select your booth type below. Full payment is required, and a late fee applies if payment is received after the deadline.

10-2. Full Payment Required

Food Vendor agrees to pay the full amount within five (5) days of the date of this agreement via e-transfer to info@fuerzalatinaservices.org Copied! or by credit card. A service fee of 3% will be applied to all credit card payments.

10-3. Late Payment

Payments received after the deadline will be subject to a $100.00 late fee.

10-4. Installments

Payment in installments is not permitted.

10-5. No Refunds

All payments made to Fuerza Latina for participation in the Bradford Latin Festival are non-refundable.

By electronically signing or submitting the agreement online, the Food Vendor (Promiser) agrees to be legally bound by its terms, with electronic signatures having the same effect as handwritten ones.
